Overall Objectives of Position

The Business Solutions Coordinator is a dynamic role at the intersection of business process improvement and project coordination. This position is vital in supporting organizational efficiency by analyzing, documenting, and enhancing workflows while ensuring the smooth execution of projects aligned with strategic goals.

As a key contributor to the success of various initiatives, the Business Solutions Coordinator collaborates with cross-functional teams to identify opportunities for operational improvements, streamline processes, and implement best practices. The role also involves coordinating project activities, maintaining documentation, tracking progress, and ensuring effective communication between stakeholders.

Primary Responsibilities of the Business Solutions Coordinator

Business Process Analysis
  • Collaborates with departments to document and analyze current business processes, identifying inefficiencies and areas for improvement.
  • Creates process maps and workflows to visually represent operations and dependencies.
  • Collects and analyzes data to assess process performance, identify bottlenecks, and recommend improvements.
  • Assists in developing standard operating procedures (SOPs) and best practices to enhance efficiency.
  • Supports the implementation of process changes and track their impact on operations.
Project Coordination
  • Assists in developing detailed project plans, schedules, and task lists.
  • Updates and maintains project schedules, reflecting changes in scope or priorities.
  • Organizes and maintains project documentation, including charters, meeting minutes, risk registers, and status reports.
  • Facilitates meetings by preparing agendas, capturing action items, and following up on deliverables.
  • Communicates project updates, risks, and milestones to stakeholders and team members.
  • Tracks resource allocation and supports minor conflict resolution within projects.
  • Identifies and documents project risks and issues, collaborating on mitigation strategies.
Reporting and Documentation
  • Generates regular reports to highlight project metrics, performance indicators, and process improvements.
  • Maintains accurate and organized records of business processes, workflows, and project deliverables.
  • Uses project management and data analysis tools to present insights and recommendations effectively.
Collaboration and Communication
  • Acts as a liaison between business units, project teams, and stakeholders to ensure alignment and clarity.
  • Promotes collaboration across teams by facilitating effective communication and coordinating efforts.
  • Supports stakeholders in understanding process changes and their implications on operations.
Day-to-day Responsibilities
  • Collaborates with stakeholders to gather requirements and document existing workflows and business processes.
  • Creates process maps, diagrams, and flowcharts using tools like Microsoft Visio, or equivalent software.
  • Analyzes data and metrics to identify inefficiencies, bottlenecks, and improvement opportunities.
  • Assists in developing and updating standard operating procedures (SOPs) and best practices.
  • Supports the implementation of process changes and monitor their outcomes.
  • Assists in developing and maintaining detailed project plans, timelines, and task lists.
  • Monitors project progress, updating schedules and ensuring alignment with deadlines.
  • Maintains organized project documentation, including meeting minutes, charters, and risk registers.
  • Prepares and distributes project updates, status reports, and progress summaries to stakeholders.
  • Facilitates meetings, preparing agendas, capturing key discussions, and ensuring follow-up on action items.
  • Tracks resource allocation and coordinate with team members to resolve minor conflicts.
  • Acts as a liaison between business units, project teams, and other stakeholders to ensure alignment and clarity on objectives.
  • Promotes open communication and collaboration across departments, addressing inquiries and resolving issues as needed.
  • Supports stakeholders in understanding and adopting new processes or project outcomes.
  • Collects and analyzes project and process data to track performance and identify trends.
  • Uses project management and data visualization tools to generate reports and dashboards.
  • Maintains accurate records of key performance indicators (KPIs), milestones, and outcomes for both processes and projects.
  • Coordinates logistics for meetings, including scheduling, preparing materials, and managing virtual platforms or room bookings.
  • Manages project-related emails, documentation, and correspondence, ensuring timely responses.
  • Provides support and training for team members unfamiliar with process mapping or project management tools.
  • Addresses ad-hoc requests for analysis, process documentation, or project updates
  • Proactively suggest process improvements to enhance operational efficiency and project success.
  • Stays informed on industry best practices for business process analysis and project management.
  • Participate in team brainstorming sessions to develop innovative solutions to business challenges.
Education/License/Certification and Experience Requirements
  • Bachelor’s degree Business Analytics, Business Administration, Project Management, or a related field required. Master’s degree in Business Analytics, Business Administration, Project Management, or related field preferred.
  • Minimum of one (1) year of experience in a business analytics, project coordination, or similar role required.
  • Certified Associate in Project Management (CAPM) certification preferred.
  • Entry Certificate in Business Analysis (ECBA) preferred.
  • Certification of Competency in Business Analysis (CCBA) preferred.
Skills Required
  • Ability to document and analyze workflows, identifying inefficiencies and areas for improvement.
  • Proficiency in process mapping tools like Microsoft Visio, or similar.
  • Familiarity with project management methodologies and tools (e.g., Microsoft Project, Jira, Asana, Monday.com).
  • Knowledge of project lifecycle phases (initiation, planning, execution, monitoring, and closure).
  • Strong analytical skills to interpret data, identify trends, and support decision-making.
  • Experience with data visualization tools (e.g., Excel, Power BI, or Tableau) is a plus.
  • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) for documentation and reporting.
  • Familiarity with collaboration tools like Microsoft Teams, SharePoint, or Slack.
  • Ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
  • Precision in maintaining accurate documentation, reports, and project schedules.
  • Proficiency in organizing and maintaining comprehensive project and process-related records.
  • Ability to convey information clearly and concisely in documentation and stakeholder communications.
  • Skilled in leading meetings, preparing agendas, capturing action items, and ensuring follow-through.
  • Strong ability to build relationships and work collaboratively with cross-functional teams and stakeholders.

  •  Ability to work odd and irregular hours.
  • Must successfully pass the required criminal and character background check.
