Primary Objectives
The Employee Events Coordinator is a key line-level position responsible for playing an important role in crafting the employee experience such that the Tribe is consistently seen as the employer of choice in all operating locations. The incumbent is seen as the “fun face” of the Tribe through careful planning and coordinating all employee events and recognition programming. Importantly the incumbent also serves as the “service champion” for our stakeholders, Tribal Council and Tribal Members. This position will be tasked with creating fun and excitement that supports the Tribe’s Purpose and Values and as such brings an observable and on-brand flair to the execution of assigned duties. This job description is not an all-inclusive list of the duties and responsibilities of this position. PCI Employees are expected to perform all duties and responsibilities necessary to meet the goals and objectives of applicable programs and departmental objectives, as assigned.

Essential Functions
  • Coordinates all employee events including, but not limited to, Employee Appreciation Day, Employee Christmas Party, special recognition of employees and any other events sponsored by the Tribe. Heavy focus will be on delivering the employee experience at Tribal Government in a manner that befits the schedule, and work demands of the various divisions.
  • Coordinates, communicates, and creatively facilitates the Poarch Creek Annual Christmas Parade.
  • Partners with various managers and leaders to solicit feedback on how to improve employee morale and services to employees Will liaise directly with line level employees to assess the current state of our employee experience and tailor programming to drive high levels of employee engagement.
  • Designs creative ways to improve first impressions of our applicants and employees.
  • Partners with and shares best practices with Division Directors and Departmental leaders to design and execute departmental recognition events.
  • Designs and assists with the execution of campus-wide recognition and celebration events, as well as offsite events.
  • Designs creative ways to showcase the PCI Brand and heritage for meetings/events.
  • Responsible for prospecting and selecting chefs and/or catering companies, vendors, planning menus, booking entertainment, visiting and choosing venues, selecting decorations, and ordering essentials needed for employee events.
  • Initiates, coordinates, and/or participates in all efforts to publicize events, edit and design promotional material.
  • Accepts bids from various companies in accordance with TERO guidelines, keeping records of purchases and bid/product agreements.
  • Calculates and maintains event budget information to ensure that budget expenses do not exceed the budget.
  • Establishes event dates, themes, and prepares event presentations. Coordinates these event timelines and communication plans to ensure deadlines are met and events and executed with distinction.
  • Coordinates individuals (volunteers, employees, interns) to assist with event setup, teardown, and clean-up. Coordinates logistics, including, but not limited to, parking for the events, food placement areas, arranging of event décor, tents, tables and chairs.
  • Keeps inventory of purchased materials/supplies used for setup/ decoration, gifts, donations or any other items purchased or given away.
  • Performs other duties as assigned by the appropriate person, with a focus on serving the overall needs of the HR department and meeting the needs of PCI Tribal Government employees.
Job Requirements
  • Associate’s Degree or bachelor’s degree in Event Planning or related field preferred.
  • Two (2) years of experience in an office setting required.
  • Two (2) years of Event Planning Experience required.
  • Ability to work odd and irregular hours, as needed. Position may include occasional overnight travel as well as work performed in the evenings and weekends/holidays
  • Must possess a valid state driver’s license and an insurable driving record according to Tribal insurance guidelines.
  • Must successfully pass the required criminal and character background check.
  • Ability to travel and participate in required training, leadership development, and other events.
  • Ability to perform all duties and responsibilities of this position adequately and successfully.

  • Strong working knowledge of computers with the ability to work in a Windows environment with various software programs such as Word and Excel. Must successfully pass the required pre-employment computer skills exam.

  • The starting pay will depend on factors such as experience level and skillset.
